Privacy Policy

Sightline Sports Systems, LLC ("Sightline," "we," "us," or "our") operates the Sightline recruiting platform, including our website, mobile applications for iOS and Android, and all related services (collectively, the "Platform").

We are committed to protecting the privacy and security of our users, with particular attention to student-athletes and their families. This Privacy Policy explains in detail how we collect, use, disclose, protect, retain, and handle personal information.

Please read this Policy carefully. Your use of the Platform is also governed by our Terms of Service. If you do not agree with this Privacy Policy or the Terms of Service, you should not access or use the Platform.

1. COPPA Compliance and Protection of Minors

Sightline is deeply committed to complying with the Children's Online Privacy Protection Act (COPPA) and applicable state privacy laws.

  • Children Under 13: Accounts for athletes under 13 years of age must be created and continuously managed by a parent or legal guardian. We require verifiable parental consent before collecting, using, or disclosing any personal information from children under 13. To obtain verifiable parental consent, we may use a variety of methods depending on the circumstances, including but not limited to credit card verification, government-issued ID upload (with manual or automated review), video conference verification, or other methods approved under COPPA. The specific method used will be determined based on the context of the request and applicable legal requirements.
  • Minors Ages 13–17: We strongly encourage parental involvement and provide tools for parents/guardians to monitor and control their child's account.
  • Parental Rights: At any time, a verified parent or legal guardian may access, review, correct, restrict, or delete their child's profile and associated data by contacting support@sightlineapp.us.

We do not knowingly collect personal information from children under 13 without verifiable parental consent. If we discover we have done so, we will promptly delete such information.

2. Information We Collect

A. Information You Actively Provide

  • Account registration data (full name, email address, phone number, password, date of birth/age)
  • Athlete profile information (high school, graduation year, position, physical attributes, GPA, academic honors, athletic biography)
  • Game and performance data (statistics, match results, opponent information, tournament details)
  • Media content (Vimeo, YouTube links, or other video/film uploads)
  • Communications sent through the Platform's messaging system

B. Automatically Collected Information

  • Technical and usage data (IP address, device type, operating system, browser version, unique device identifiers, app version)
  • Activity logs (features used, pages viewed, timestamps, session duration)
  • General location information (city, state, or region) for features such as "nearby clubs" or recruiting searches

C. Information from Third Parties

We may receive limited information from travel clubs, high schools, or college programs when they interact with your profile, as well as from analytics, security, and cloud service providers.

3. How We Use Your Information

We use the personal information we collect for a variety of purposes that are essential to the operation and improvement of the Sightline Platform. Primarily, we use this information to create, maintain, and secure user accounts, to build and update comprehensive athlete recruiting profiles, and to enable the core verification workflow where parents and athletes submit game statistics that are then reviewed and approved by credentialed travel coaches or club directors.

This data also allows us to facilitate meaningful connections within the recruiting ecosystem by making verified athlete profiles searchable and visible to authenticated college coaches and their staff, while respecting strict role-based access controls. We further use the information to power real-time features such as live scoring updates, messaging between families and coaches, and personalized notifications about profile views, stat verification status, or new recruiting interest.

Additionally, we analyze usage patterns and performance data in aggregated or de-identified forms to understand how users interact with the Platform, identify areas for improvement, develop new features, and enhance overall user experience. We may also use contact information to send important administrative and service-related communications, such as security alerts, policy updates, or responses to support requests. All of these uses are carried out in a manner consistent with the consent provided, our legitimate business interests, and applicable legal obligations.

4. Sharing and Disclosure of Information

Sightline shares personal information only in carefully limited circumstances that are necessary for the Platform to function effectively or required by law. Verified athlete profiles, including names, positions, graduation years, high school and club affiliations, and verified game statistics, are made available to authenticated college coaches, scouts, and program administrators. This visibility is the foundation of the recruiting network and is strictly limited to users who have been verified as legitimate college coaching personnel.

Travel coaches and club directors are granted access to pending and verified stat submissions from athletes within their organizations solely for the purpose of reviewing, editing, and verifying data. We also work with trusted third-party service providers who assist us with critical functions such as cloud hosting (AWS), content delivery and security (Cloudflare), video embedding (Vimeo and YouTube), analytics, email delivery, and payment processing. These providers are bound by strict contractual obligations to maintain the confidentiality and security of any data they process on our behalf and are prohibited from using it for their own purposes.

We may disclose personal information when we believe in good faith that such disclosure is necessary to comply with applicable laws, regulations, legal processes, or governmental requests, to enforce our Terms of Service, to investigate potential violations, to protect the rights, property, or safety of Sightline, our users, or the public, or in connection with a corporate transaction such as a merger, acquisition, or asset sale. We do not sell, rent, or monetize personal information or athletic profiles to data brokers, advertisers, or unrelated third parties for their independent commercial benefit.

5. California Privacy Rights (CCPA / CPRA)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

Do Not Sell My Personal Information: Sightline does not sell your personal information. If you wish to submit a formal "Do Not Sell" request, you may do so by emailing support@sightlineapp.us with the subject line "CCPA – Do Not Sell Request."

6. Data Security & Breach Notification

We take the security of your personal information very seriously and implement a multi-layered approach to safeguarding data. This includes industry-standard encryption for data both in transit (using TLS 1.2 and higher) and at rest (using AWS Key Management Service), strict role-based access controls, regular security audits, vulnerability scanning, and continuous monitoring of our systems. Access to sensitive data is logged and restricted to authorized personnel on a need-to-know basis.

In the event of a data breach that is reasonably likely to result in a risk to individuals, we will notify affected users and relevant regulators without unreasonable delay and in accordance with applicable law. We maintain an incident response plan designed to investigate, contain, and remediate security incidents as quickly as possible.

No Guarantee: Despite these extensive efforts, we cannot guarantee the absolute security of any information. You acknowledge and accept that any transmission of data to or from the Platform occurs at your own risk.

7. Data Retention & Inactive Accounts

We retain personal information for as long as it is necessary to fulfill the purposes for which it was collected, to provide our services, to comply with legal and regulatory obligations, to resolve disputes, and to enforce our agreements. Verified athletic statistics and profiles may be retained for the duration of an athlete's eligibility window and for a reasonable period thereafter to support recruiting activities and historical record-keeping.

For inactive accounts (for example, where an athlete has graduated, stopped logging in, or is no longer actively using the Platform), we may retain the data for up to 24 months after the last significant activity before considering archival or deletion, unless a deletion request is received earlier or legal obligations require longer retention. Parents or users may request earlier deletion of data at any time, subject to legitimate business or legal needs. Upon a verified deletion request, we will take reasonable steps to delete or de-identify the relevant personal information within a reasonable timeframe.

8. Your Rights and Choices

You and your parent or legal guardian have important rights regarding your personal information. Depending on your location and applicable law, these rights may include the ability to access the personal information we hold about you, request correction of inaccurate data, ask for deletion of your data (subject to certain exceptions), restrict or object to certain processing activities, and, in some jurisdictions, receive your data in a portable format.

California residents have additional rights under the CCPA/CPRA as detailed earlier in this Policy. To exercise any of these rights, you or your parent/guardian should submit a request by emailing support@sightlineapp.us. We will need to verify your identity before processing most requests. We will make every effort to respond to verified requests within 30 days, or within the timeframe required by applicable law. If we are unable to fulfill a request in whole or in part, we will explain the reasons for the denial.

9. International Data Transfers

If you are located outside the United States, particularly in the European Union, the United Kingdom, or other jurisdictions with strict data protection laws, please be aware that your personal information will be transferred to and processed in the United States, where data protection standards may differ from those in your country.

By using the Platform and providing your information, you explicitly consent to this transfer and processing. We take appropriate safeguards to protect international transfers, including contractual commitments from our service providers. However, you should understand that once your data is in the United States, it may be subject to access by U.S. authorities under applicable laws. If you have concerns about international transfers, please contact us at support@sightlineapp.us.

10. Changes to This Privacy Policy

We may update or modify this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other operational needs. When we make material changes — such as those that significantly alter your rights or the way we use your personal information — we will notify you in advance by sending an email to the address associated with your account and/or by posting a prominent notice on the Platform at least 30 days before the changes take effect (where feasible).

We encourage you to review this Privacy Policy periodically to stay informed about how we protect your information. Your continued use of the Platform after the effective date of any updated Policy constitutes your acceptance of the revised terms. If you do not agree with the changes, you should stop using the Platform and request deletion of your account.

11. Cookies and Tracking Technologies

We use cookies, pixels, local storage, and similar tracking technologies to operate the Platform, understand user behavior, improve functionality, and provide a better experience. These technologies help us remember your preferences, keep you logged in, analyze usage patterns, and deliver personalized content. We also use third-party services such as Google Analytics and Google Ads, which may set their own cookies for analytics and advertising purposes.

You can manage cookie preferences through your browser settings. Most browsers allow you to block or delete cookies, though doing so may affect your experience on the Platform. For more information about cookies and how to control them, please visit the help sections of your browser or device.
